First: Know What Isn’t Included

Most barn venues are “blank slates,” which means you’ll need to bring in almost everything.

Things that usually aren’t included:

  • Tables, chairs, linens

  • Lighting and sound equipment

  • Indoor restrooms

  • Getting-ready spaces

  • Staff for setup or teardown

  • Coordination or vendor management

  • Climate control (heat or cooling)

  • Power access (you may need a generator)

Build a Vendor Team That’s Been There

When you’re planning a barn wedding in Ontario, your vendor list becomes extra important.

You’ll likely need:

  • A rental company for tables, chairs, decor, and lighting

  • Portable restroom provider

  • Caterer with a mobile or off-site kitchen

  • AV team for sound and microphones

  • Decor setup or coordination support

  • Power supply or backup generator

  • Officiant, photographer, florist, DJ

Many vendors are happy to work in new spaces or offer site visits if needed, but it still helps to ask if they’ve worked at your venue before. Familiarity with the layout, lighting, and access points can make setup smoother and avoid surprises on the day.

Don’t Forget Teardown

This is the number one thing couples forget with barn weddings:

You’re responsible for cleaning up everything, usually by midnight.

Unless you’ve got a superhuman friend group, don’t count on guests to fold chairs, haul decor, or chase vendors while you’re on the dance floor.
